IT Forum Gruppen A/S is committed to complying with the requirements and obligations related to the processing of personal data under applicable law, including the General Data Protection Regulation ("GDPR") and the Data Protection Act. We have therefore implemented appropriate procedures to ensure the protection of your personal data.

2. CATEGORIES OF PERSONAL DATA, PURPOSES AND LEGAL BASIS

2.1 Website visitors

When you visit IT Forum Gruppen A/S's website, www.itf.dk (“Homepage"), IT Forum Gruppen A/S processes personal data about you, such as cookies, browser information, IP address and time spent on the Website. The purpose of using cookies is, among other things, to improve the user experience on our Website, functionality on the Website, compiling statistics, targeting ads to your needs and to remember your preferences. The basis for the processing of your personal data is the legitimate interests of IT Forum Gruppen A/S, and it is IT Forum Gruppen A/S's assessment that your interests or fundamental rights and freedoms do not override this, cf. 2.2 Contact persons at business customers, suppliers and other business relations

As a contact person at our customers, suppliers or other business relations, IT Forum Gruppen A/S processes personal data about you when you communicate with IT Forum Gruppen A/S, e.g. via emails in connection with IT Forum Gruppen A/S's contractual relationship with the company you are employed by or in connection with the conclusion or termination of a contract. IT Forum Gruppen A/S processes general personal data about you, including your name and surname, e-mail address, telephone number, position, etc.

 

The purpose of the processing is the administration of customer and business relationships. The legal basis for the processing of your personal data is the legitimate interests of IT Forum Gruppen A/S, and it is IT Forum Gruppen A/S's assessment that your interests or fundamental rights and freedoms do not override this, cf. GDPR Article 6(1)(f). The legitimate interests pursued by IT Forum Gruppen A/S are fulfilling our contractual obligations, maintaining and strengthening our customer relationships, invoicing the services that the company you are employed by provides IT Forum Gruppen A/S and vice versa, and for documentation purposes if an agreement is entered into via e-mail.

 

In certain cases, the processing of your personal data is necessary to comply with a legal obligation imposed on IT Forum Gruppen A/S, e.g. in connection with the storage of accounting material in accordance with the Danish Bookkeeping Act. In such cases, the legal basis is GDPR Article 6(1)(c).

 

2.3 Customers with sole proprietorships

If you are a business customer of IT Forum Gruppen A/S and the owner of a sole proprietorship that you are contacting on behalf of, IT Forum Gruppen A/S's processing of certain information about your business also constitutes processing of your personal data.

 

When you interact with IT Forum Gruppen A/S via your company and, for example, enter into a customer relationship with IT Forum Gruppen A/S, this means that the information that IT Forum Gruppen A/S processes about your company, such as company name, address and CVR number, bank and payment information, information about your purchase, setup, etc. is personal data in the same way as other personal data that IT Forum Gruppen A/S processes about you, including your name and surname etc.

 

The purpose of the processing is the administration of the customer relationship. The legal basis for the processing is GDPR Article 6(1)(b). This is either because processing is necessary for the performance of a contract to which you are party or for the implementation of measures taken at your request prior to entering into a contract. In certain cases, the processing of your personal data is necessary to comply with a legal obligation to which IT Forum Gruppen A/S is subject, e.g. in connection with the storage of accounting material under the Accounting Act. In such cases, the legal basis is GDPR Article 6(1)(c).

 

2.4 Customer service and inquiries via the online form

When you contact our customer service, we process the personal data you provide us with in order to handle your inquiry. This will typically be your name, phone number, email address and the content of your inquiry.

 

If you send your inquiry via IT Forum Gruppen A/S's online form, IT Forum Gruppen A/S will process personal data about you, such as name, telephone number, e-mail address, the company you represent and the content of your inquiry.

 

IT Forum Gruppen A/S will not process special categories of personal data (sensitive personal data) about you, e.g. health data, unless you have provided such data yourself, e.g. through the online form. IT Forum Gruppen A/S kindly asks you not to send sensitive personal data to us.

 

The legal basis for the processing of your personal data is IT Forum Gruppen A/S's legitimate interests in providing customer service and developing our business, and it is IT Forum Gruppen A/S's assessment that your interests or fundamental rights and freedoms do not override this, cf. GDPR Article 6(1)(f).

3. RECIPIENTS OF YOUR PERSONAL DATA

IT Forum Gruppen A/S will in some cases disclose your personal data to group companies, business associates or other business partners for business purposes. Such third parties include, among others, social media providers, as further described in section 6 Below.

 In certain specific cases, e.g. in connection with disputes, including if disclosure is necessary for IT Forum Gruppen A/S's legal claims to be established, enforced or defended, IT Forum Gruppen A/S may disclose your personal data to advisors or other relevant third parties if deemed legal and necessary.

 

 Some third parties only process your personal data on behalf of IT Forum Gruppen A/S and according to IT Forum Gruppen A/S's instructions and the obligations set out in a data processing agreement concluded with IT Forum Gruppen A/S. These data processors must not process your personal data for their own purposes.

 

4. TRANSFER OF PERSONAL DATA TO THIRD COUNTRIES (COUNTRIES OUTSIDE THE EU/EEA)

In some cases, your personal data may be transferred to countries outside the EU/EEA. IT Forum Gruppen A/S ensures that the transfer takes place in accordance with applicable data protection legislation. This means that a recipient of your personal data that is not based in the EU/EEA will ensure an adequate level of protection, e.g. by entering into an agreement with IT Forum Gruppen A/S on the use of the EU Commission's standard contractual clauses ("SCCs"). IT Forum Gruppen A/S ensures the implementation of additional protective measures if deemed necessary in the individual case. 5. STORAGE OF YOUR PERSONAL DATA

Forum Gruppen A/S will only store your personal data for as long as it is necessary for the purposes for which the personal data in question is processed.

5.1 Website visitors

Personal data collected via cookies through visits to our Website is stored for different periods of time depending on the type of cookie and the purpose of the cookie. Read more in section 7 below.

 

Personal data collected in connection with the use of social media is deleted as soon as the content in question is deleted or when you remove your reaction to our content (liking, sharing etc.). Read more in section 6 below.

5.2 Customers with sole proprietorships and contact persons at customers, suppliers and other business partners

If you are a customer and own a sole proprietorship, or if you are a contact person at one of IT Forum Gruppen A/S's customers, suppliers or other business associates, IT Forum Gruppen A/S will process personal data about you as long as IT Forum Gruppen A/S communicates with you and until 3 years after termination of the contractual relationship, unless your personal data is necessary to store for a longer period in order to establish, exercise or defend a legal claim.

5.3 Customer service and inquiries via the online form

Inquiries from potential customers are deleted 6 months after the inquiry has been resolved, unless it is necessary to store the personal data for documentation purposes, e.g. due to a dispute, including for the establishment, exercise or defense of legal claims.

 

Inquiries from existing customers will be deleted 3 years after termination of the contractual relationship, unless it is necessary to retain the personal data for documentation purposes, e.g. due to a dispute, including for the establishment, exercise or defense of legal claims.

5.4 Accounting material

If your personal data is included in IT Forum Gruppen A/S's accounting material, e.g. in connection with invoicing. In such cases, your personal data will be stored for 5 years from the end of the financial year to which the accounting material relates. The purpose of this is to comply with our legal obligations under the Danish Bookkeeping Act.

 

6. SOCIAL MEDIA

Our website has integrated plug ins from social media, including LinkedIn. When you visit our social media pages or when you visit our website on which plug ins are integrated, the social media providers collect and process personal data using cookies, provided you have given your consent. The collection and processing of your personal data takes place regardless of whether you have a social media profile.

How to sign up via download, signup, registration of events via IT Forum Group's LinkedIn pageyou will automatically be subscribed to the email list you have signed up for. You can always unsubscribe from our newsletter. 

 

If you access our Website that has integrated social media plug-ins, your browser contacts the server of the social media provider, loads the visual presentation of the plug-in and presents the content to you. While this is happening, the social media provider receives information about your use of the Website and additional personal data, such as your IP address. IT Forum Gruppen A/S receives anonymous demographic and geographic statistics from the social media provider regarding visitors to our Website and our social media pages.

 

IT Forum Gruppen A/S is joint data controller with the social media providers for the processing of personal data in connection with visits to our social media pages and our Website. This means, among other things, that you can contact both IT Forum Gruppen A/S and the social media provider if you wish to exercise your rights under the GDPR. The social media provider has the primary responsibility for ensuring compliance with the GDPR and for responding to requests to exercise data subjects' rights. If you have a social media profile, you can exercise your rights via the account settings.

  • You have the right to request that personal data about yourself be erased under certain circumstances, for example if the processing is based on your explicit consent and you withdraw that consent.
  • You have the right to request restriction of the processing of your personal data, for example if the accuracy of the personal data is contested.
  • Where our processing is carried out automatically and is based on your consent or performance of a contract with you, you have the right to request to receive the personal data that you have provided to us in a structured, commonly used and machine-readable format and the right to request the transmission of this personal data to another controller, if technically feasible.
  • You have the right to object to the processing of your personal data by us, especially in relation to direct marketing.
  • You have the right to request not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects or similarly significantly affects you.
  • If you have given your consent to the processing of your personal data, you have the right to withdraw your consent at any time. However, if you withdraw your consent, this will not affect the processing of your personal data that took place prior to the withdrawal.
